Participant Visibility & Roster Privacy Tiers

Controlling who sees rosters, invite lists, and headcounts across public, private, and invite-only events.

Oct 11, 2026 — Paul Stroud

Picklemix provides four participant visibility tiers so organizers can control whether rosters, invitation lists, and player names are visible to attendees, invitees, or the general public.

The 4 Visibility Tiers

Tier Setting What Participants See What Public Viewers See Best For
Full (Default) Full roster names, open seat count, and invitee response statuses Roster names and open seat counts Open club mixers and community round robins
Accepted Confirmed roster names only; pending invitation list is hidden Confirmed roster names only Competitive leagues and tournaments with invite lists
Count Headcount only (e.g., \"6 of 8 seats filled\"); no player names shown Headcount only Corporate events and private member reservations
Hidden No roster or headcount; event details and schedule only No roster details visible Confidential coaching clinics and VIP sessions

What Admins Always See

Event admins and co-admins are never restricted by the visibility setting. On both web and mobile, admins have access to:

  • Full Roster Details: Real names, placeholder status, and assigned seat numbers.
  • Payment Status: Paid or Unpaid badges per attendee on fee-based events.
  • Notification Reachability: Colored delivery status indicators for each participant.

Understanding the Reachability Indicators

On admin roster cards and waitlists, each participant displays a delivery indicator dot:

  • Green Dot (Reachable): The member has at least one confirmed notification channel (a verified email address, or an active phone number with SMS/WhatsApp opt-in enabled). Messages and court assignments will deliver.
  • Amber Dot (Unreachable): The participant has an unverified email, lacks an opt-in phone number, or is an unclaimed placeholder. Automated alerts cannot reach them directly.

How to Change Visibility

  1. Navigate to your event page and click the Players card.
  2. In the modal footer, click Options (or Participants & Visibility).
  3. Select your preferred tier (Full, Accepted, Count, or Hidden) and click Save.
