Running Your First Round Robin

A courtside checklist for new organizers—from setting up courts and printing schedules to scanning scores and sharing the results card.

Running a smooth round robin comes down to having everything prepared before the first ball is hit. Here is the five-stage checklist to run an event from your phone or desk.

1. Setup and roster

  • Choose your format: A standard rotating mixer (doubles with rotating partners) fits social play; a Court King ladder fits competitive groups where winners move up court.
  • Fill the seats: Add registered members or quick-add placeholders with temporary names. Picklemix allows placeholders to claim their match history later.
  • Check court count: Ensure you have one court per four active players (e.g., 3 courts for 12 players, 4 courts for 16 players).

2. Print before you pack

  • Print scorecards: Open Scorecards in the event menu. Picklemix prints three cards per page, each bearing a unique QR code for that exact game.
  • Print the master schedule: Print one copy of the court schedule to hang on the venue fence or clipboard so players can track their upcoming rotations.

3. Courtside check-in

  • Handle absences early: If a player fails to show, replace their seat or substitute a placeholder before generating the final schedule round.
  • Assign scorekeepers: Any registered member can be granted scoring privileges from the event's Scorekeepers screen.

4. Scoring during play

  • Scan the card: In the Picklemix mobile app, tap Scan Scorecard and point the camera at the card's QR code. The app opens that game immediately with players pre-filled.
  • Weak signal safety: If venue Wi-Fi drops, entered scores stay in the mobile app's local outbox and sync automatically once connectivity returns.
  • Desk scoring: Organizers using a laptop can enter scores directly on the live schedule grid or dictate scores to Ohana.

5. Finalizing and sharing results

  • Review standings: Once all rounds are entered, confirm results. Standings rank players automatically by games won, then head-to-head point differential.
  • Share the results card: Picklemix generates a shareable image card at /r/[event-id] highlighting the podium finishers, ready to download and post to group chats or social media.
